HubSpot vs Porta: which CRM fits a make-to-order manufacturer?

An honest comparison of HubSpot Sales Hub and Porta for custom manufacturers: quoting, customer communication, production tracking, setup and real cost for a 5-person team.

HubSpot is one of the best-known CRMs in the world, and for good reason: it is excellent at marketing automation, email sequences and managing a high-volume sales pipeline. But if you run a business that makes things to order — custom apparel, promo products, stages, structures, event power — most of your sales work happens somewhere HubSpot was never designed to look: in the quote, the approvals and the production run.

This comparison is written by the team behind Porta, so we are not neutral. We have tried to be fair: where HubSpot is the better choice, we say so.

The short answer

  • Choose HubSpot if most of your revenue comes from standard products, you rely heavily on email marketing and inbound campaigns, and you have someone who can configure and maintain a CRM.
  • Choose Porta if every job is custom, quoting takes too long, customers keep asking for updates, and you need artwork, drawings or samples approved before production.

Quoting: where most custom manufacturers lose deals

In custom manufacturing, the quote is the sale. A buyer sends a request for 500 embroidered hoodies or a 16-metre stage with roof, and the first credible quote often wins. Yet for many shops a quote still takes days: someone has to dig up a similar past job, check the price list, add setup costs and decoration, and sanity-check the margin.

HubSpot's quotes are built around a product library: you pick line items and HubSpot generates a document. That works well for standard SKUs. It does not know that your embroidery is priced per stitch band, that screens are a one-off setup cost on new artwork, or that a roof build always needs a crane.

Porta drafts the quote for you. It reads the request, finds your most similar past jobs, and applies your own price list and rules. Every line explains where its price came from, so you check and adjust rather than start from zero. Nothing reaches the customer until you send it.

Customer communication: the “any update?” problem

HubSpot is strong at outbound communication: sequences, templates, tracked emails. But for a custom order, most messages are inbound — “did you get the artwork?”, “which version is final?”, “when does it ship?”. Each one interrupts someone on your team.

Porta gives every customer a single live page with their quotes, approvals, production progress, documents and tracking. Customers accept quotes, approve proofs or drawings, comment and re-order there. Your team updates the order once; the customer sees it immediately.

After the deal: production and delivery

A CRM's job usually ends at “closed won”. For a manufacturer, that is where the real work begins: artwork, sampling, bulk production, quality checks, shipping — or drawings, build-up and breakdown. In HubSpot you would track that with custom pipelines or a separate tool.

In Porta, a won quote becomes a project automatically, with stages that match how you work. You see which jobs are late before your customer does, and the customer sees the same progress on their page.

What it really costs for a 5-person team

At the time of writing (October 2026), HubSpot lists Sales Hub Professional at $90–100 per seat per month, plus a required one-time onboarding fee of $1,500, according to hubspot.com/pricing/sales. For five users, that is roughly $450–500 per month, plus onboarding in year one. Always check HubSpot’s current pricing before you decide.

Porta is priced per company with users included. The Growth plan is €299 per month for 5 users, plus a one-time €500 setup in which we load your price list, past quotes and stages for you. During the beta, Porta is free.
